Onboarding with okta

We typically set up access to critical accounts about 3 days before a new hire starts. this way they can we things setup like G Suite, Zoom etc. If we use SAML on the accounts, how will they gain access for the first time since their company email isn't setup completely for them

  • Hi Randolph,

Thank you for reaching Okta today.

In order for end users to gain access to the applications in Okta, their accounts need to be created prior to the starting date. I will suggest opening a Support ticket with us if you require further assistance, you also have the option of calling into our Support line @(800) 219-0964, open 24 hours a day.

    Best Regards,

Just my opinion, but if you have downstream apps like GSuite or Zoom that require an email address, then their mailbox creation must be higher in the provisioning workflow.

We have a few apps that use email address as the username and, like you, our mailbox provisioning may not occur for several hours after the user's account is created in Active Directory. I have a script that runs as a scheduled task, every hour, looking for accounts that have changed in the past hour. The script looks at certain account attributes and if all the stars align, the account gets added to any groups it needs. One of the script blocks checks for the existence of an email address, and if it finds one (one of ours, that is), the account gets added to a group that is used to assign users to apps like Bluejeans or New Relic or Data Dog. I never have to manually assign anyone to those apps.
