Integrate UKG with OKTA and change EmployeeNumber in the future

Thanks in advance,

We are looking at integrating UKG with Okta and will be using UKG to stage new hires prior to their start date. We will also be using UKG as the source of truth for data within Okta (Legal name, nickname, title, department, manager, etc).

 

The concern that I have is HR is going to be changing EmployeeNumbers in the next month or so, will the change in EmployeeNumber impact accounts in Okta?

    Hi! The short answer is really no. The attributes required by Okta are first name, last name, email, and username. Beyond that, additional attributes are there for your benefit and as needed for your org or third-party apps. Changing the employee number values from say 00111 to 111 (or other numerical differences) should have no impact. They should update automatically from your source of truth to Okta. In our org, when users get married or get promoted, these values are changed in the HR system and flow down to Okta without any issue. The value should just be updated in the user profile(s).

     

    The only exception to this is that I know some of our applications use Employee Number as application username. You might want to ensure that none of your apps do, and if they do, they are setup for provisioning so that this value can be updated automatically. Otherwise, when the numbers change in Okta, they will not match these 3rd party apps and they might not be able to login.
