Okta provisioning for 3rd party software, after set up, syncing archives all pre-existing accounts?

We had an integration in place and we had imported the bulk of our users previously. Now, I am working on setting up provisioning new users for the app when they are created in Okta, but when the Okta sync occurs, it archives all the previously existing accounts in the 3rd party app.

Any idea what I may need to change to keep that from happening?

I'll also be following up on this on the 3rd party vendor side as well, but I'm not sure which side the error lies on so I figured I would cover both bases.

    Hi @RayB.59876 (Customer),

Thank you for posting on the Okta community page!

This deactivation/archiving should come from Okta in case you have configured the Deactivate Users option where, if a user is un-assigned from the app in Okta, it will deactivate the user on the application side. Creating new users shouldn't impact the existing ones therefore I assume that the 3rd party application might be expecting a certain attribute value for those existing users when the sync occurs and if that value isn't the same in Okta (on the user app profile) as on the application side, it archives the accounts and creates new ones. Unfortunately, I can only assume because I am not sure how the 3rd party app handles provisioning.

My recommendation would be to re-check the Okta provisioning configuration and make sure that everything is set up as per your organisation needs and also to verify if the users who are already synched, have the same values for the matching attributes on the Okta side as on the app side.

Additionally, if the 3rd party app has a system log functionality, I would recommend to also check the events captured there as more information might be provided that could lead to the root cause of the issue.
