This article goes over the usage of the Refresh Application Data function located under the Applications panel in the Admin Dashboard.

Solution

The Refresh Application Data feature in Okta serves a crucial purpose in ensuring that the latest roles, profiles, and group data from app integrations are retrieved and used by the system. By doing so, Okta can accurately create new users in those app integrations, streamlining the user provisioning process. Moreover, this function can also update various product licenses, attributes, roles, and groups from downstream applications, providing a comprehensive and up-to-date view of the user’s access rights and privileges.


For instance, when new licenses are added to O365 or Google, the feature can update the product licenses for these applications, ensuring that users have the necessary access rights.


Similarly, when new attributes are added to applications like Slack, Google Workspace, ServiceNow, BambooHR, or Workday, the Refresh Application Data feature can update these attributes, allowing for a more comprehensive view of user data.


Additionally, if there are organizational unit (OU) changes in applications like Google Workspace or Active Directory, Okta can use the Refresh Application Data feature to update these changes and ensure that users are assigned to the correct OUs.


Steps to perform Refresh Application Data: 

  1. Navigate to the Okta Admin Dashboard.
  2. Click on Applications > Applications.
  3. Click on the dropdown arrow More.
  4. Hit the Refresh Application Data option.
