Capture additional data in Access Request Workflow
Hello, I am researching & evaluating Okta's features and have a question regarding the Access Request Workflow. In our scenario, we have multiple applications that require additional user information to be collected and used by the approvers to either approve or deny the requests. For example, one application needs to collect user DOB, family dependent, marital status ..etc. while another application needs to collect user company DUNS, tax ID, etc...The captured information will have to be stored for use in future audit. Number of applications is around 12 and numbers of additional data fields to be collected per application are from 3 to 10.
Does Okta currently provide these functionalities out of the box? If not then do you have anything similar in future releases? Thank you!
With the current implementation of the Access Request Workflow, when an admin configures the approval settings for an app they have the option to set a note seen by requesters. This can be used to inform the user what information they will need to enter in their request to access the app. For example the note seen by the requester could say " Please include your DOB, family dependent, marital status in the box below." Then when a user is requesting the app they will see that message and can enter the information in the comment box below the message.
There is not however, any checks that the users enter the correct information or anything at all. It will be up to the end users to enter the information as instructed. There are not any plans currently to more functionality to this feature but you are always welcome to submit a feature request with your ideas if you would like this to be improved upon.
